Tip #217 - How to “Push” Critical Deadlines To Appear In Outlook As Appointments

There are several options to see your critical deadlines in SmartAdvocate[1]. You always have the option of displaying the Critical Deadlines Panel on your MySmartAdvocate screen immediately, upon logging in to SmartAdvocate. Here, users will see their deadlines (based on the preferred filters selected) for cases.

You can also schedule a Critical Deadlines Report to be sent to you (or anyone else) via email on a regular basis (daily, weekly, monthly, etc.).

Critical Deadlines can also be displayed and viewed on the standard SmartAdvocate Calendar. Simply select the Critical Deadlines tab, check the box to “Show Critical Deadlines” and apply any appropriate filters.

Some users also want to be able to view their Critical Deadlines on their Outlook Calendar. You can configure the Notification Setup in SmartAdvocate to have Critical Deadlines pushed to Outlook. Please be aware that this feature applies system wide. So once activated, the notifications will be sent to any staff assigned to a case in the role designated (Attorney, Paralegal, Case Manager, etc.). The notifications will be sent to Outlook as calendar invitations and must be accepted for the deadlines to appear in Outlook.

Here's How to Set up Notifications:

  1. Go to the Admin Tab and choose Notifications Setup

2. Check the box(es) for the types of Deadlines you want ("Critical Deadlines" and/or "Statutes of Limitations" (SOLs)

3. Chose the Case Role(s) to be notified ("Paralegal", "Attorney", "Case Manager", etc.)

4. You can choose a calendar event default time

5. Choose the Reminder Interval you want (Default or anywhere from 0 minutes to two weeks)

6. Save your selections

The Critical Deadlines will now be pushed to Outlook.
