Tip #172 - Configure User Preferences for Sending Emails From SmartAdvocate

SmartAdvocate provides two distinct methods for sending emails from within a case. 

  1. By default, you are using the SmartAdvocate email client. From there, you have easy access to attach documents (either those already attached to the case or any other documents to which you have access) and to utilize any email templates created by your firm.  You can also create an auto-signature that will be used for all emails sent from SmartAdvocate.

Note: When using the SmartAdvocate email client, SmartAdvocate is unable to place a copy of the email in your Outlook “Sent Items” folder. However, there is an acceptable work around. [1] If you want to have a copy of emails sent from within the case in SmartAdvocate available in Outlook, you can simply click either the “Send a copy to me” or “Send a blind copy to me” box when sending emails.  The sent email will then appear in your Inbox in Outlook, and can be easily moved to an appropriate folder. Checking or un-checking either of these options will become your default setting for emails sent in SmartAdvocate.

2. The other method for sending emails from within SmartAdvocate is to use Outlook as your email client.  To do so, you will need to change your User Preferences to select “Use Outlook to send emails”.[2]  To access User Preferences, click the dropdown next to your name in the top right corner of the screen where it says “Welcome [your name]”

If you set your User Preference to “Use Outlook to send emails”, then emails sent from SmartAdvocate will be automatically saved to the “Sent Items” folder in Outlook. 


[1] Some users like to see their sent email in the traditional “Sent Folder” in Outlook. 

[2] Please note you will need to have the SmartAdvocate Outlook Plugin installed to be able to access some functionalities, such as the ability to attach a document from the case to the email being sent, access to the SmartAdvocate email templates, etc.
