Tip #211 - Use Appointment Templates To Set Up Email Groups

When scheduling appointments on the calendar in SmartAdvocate, it is often necessary to include several individuals as your attendees – and frequently, they are the same individuals each time. Having to manually select the same attendees is time consuming and inefficient, as it involves several dropdowns, etc.

To make things easier, you can set up Email Groups using “Appointment Templates.” 
Here’s How: 
First you will need to create the template itself.

  1. Go to Admin > Email/Note/Appointment/View Templates

2. Click the “Add Template” button in the top left corner of the screen

3. Check the box for “Appointment Template.” The “To” field and button will also become highlighted

4. Give the Appointment Template an appropriate name (e.g., Marketing Team)

5. Click the highlighted “To” button. A new dialog box will pop up.

6. Click the radio button for Law Firm Staff

7. Click the check boxes for each staff member you want to include in the group

8. Click the “To” button to populate the names in the To Field

9. Click the “OK” button at the bottom of the page to save your selections

10. The “Edit Template” page will now have the selected names listed in the To field

11. Click the “Save” button at the bottom of the Edit Template page

 To Use The Template:

  • Go to “Add Appointment” as you normally would

  • Select the drop down for “Templates” and choose the appropriately-named template. You will see the attendee names automatically populated
