Tip #231 - How To “Schedule” Reports To Have Them eMailed To You

With the Schedule feature in SmartAdvocate, you can have any report automatically emailed to you (or to any valid email address) on a schedule you select.
 
Here’s How:
 

  1. Select a Report from the available list of reports on the top tool bar.

2. On the Report page, click the “Schedule this Report” tab in the top right corner of the screen.[1]

You will be presented with a list of available filters that will vary depending on the specific report selected. In the following example, we will use the “Critical Deadline Report”
 

3. If you are using a newer version of SQL (See Figure 2), enter a description for your report.

4. Enter the appropriate email address(es) of the recipient(s) for the “To,” the “Cc,” and the “Bcc”.

5. Enter any appropriate text in the Subject Line or leave the default.

6. Enter the appropriate Report Parameters (Report Parameter Values). The options for the Report Parameter Values will vary depending on the specific report selected. In general, when scheduling a report, you typically would want to use “Days From,” “Days To,” “Days Forward,” and “Days Back” if those options are available. That way you can specify the number of days for your report rather than specific dates, since specific dates will always render a report that is inclusive of those dates only.

7. Click the “Select Schedule” or “Edit Schedule” button depending on your version of SQL.

 

8. Enter the schedule on which you want to receive your report and then click the “OK” or “Apply” button. In the following example, the report will be sent weekly on Friday at 10:00 AM.

9. Click the “Apply” or “Create Subscription” button to start the scheduled report.
