Tip #155 - How To Add Attendees To Multiple Appointments In Bulk

Occasionally, you may need to add a staff member as an attendee to several existing appointments on the SmartAdvocate Calendar. This could be for appointments that already have one or more existing attendee(s) or appointments that do not have an attendee at all. The easiest way to accomplish this is to use the available filters and mass update feature on the SmartAdvocate Office Calendar.
 
First, go to the Office Calendar and set the date ranges and other filter to locate the appointments you want to work with. In the example below, I am filtering for appointments in the date range 9/3/2021 to 12/31/2021 (Step 1) and filtering for "Depositions" under  "Activity" type (Step 2). If you want to narrow you search to be more specific, additional filters can be applied (e.g., Attending Staff, Case Type, Case Status, etc.). To do this, click the “Apply Filters” button on the right side of the screen (Step 3) after you have selected the appropriate filter(s) to display the results (Step 4).

Next, select the appropriate appointment(s) from the list by checking the checkbox to the left of the appointment. You can select all of them by checking the box on the top left of the list, or select individual appointments (Step 5 below).

Right click on one of the selected appointments and click on "Add Attendees" (Step 6).

Select the attendee(s) you want to add to the appointments (Step 7), click the "Attending" tab to add the selected staff members (Step 8) and then click the "OK" button (Step 9).
