Tip #203 - How To Set Up Teams In Your Cases And Use Mass Update Feature To Reassign Teams

Many firms have teams assigned to their cases where certain staff members work in groups or “Pods” as they are sometimes called. The Teams are often set up based on Matter Type/Case Type, Case Status or both. Naturally, the “Teams” would have to be predefined. Typically, staff members are assigned to cases on an individual basis, e.g., Attorney, Case Manager, Paralegal. The Team Assignment feature will allow you to assign all three staff positions at one time.

How To Set Up The Team(s) or “Pods”
First, you will need to define the Team(s). This is done in Picklist Maintenance. Go to Admin > Picklist Maintenance > Case Teams.

Click the “Add New Item” button and create the desired Team(s). Give the Team a name (e.g., Intake Team, Investigation, Pre-Litigation, Trial Team, Settlement, Mass Torts Investigation, etc.). You can add an optional description for the team if you wish.

Add The Team Members
Next, you will need to add members to the Team. Go to Case Team Assignments in Picklist Maintenance. Click the “Add New Item” button, choose the Team you want to work with, then select the individual Staff and Case Role. Please note, Team Members are assigned individually, in their individual role, so you will need to repeat this step for each member of the Team.

Once you have created the Team(s) and assign the Team Members, you can then assign a Team to individual cases using the Staff Assignment on the case’s Summary Screen. You can also use the Mass Update function in Case Browse to assign a Team to cases in bulk.
 
To assign Teams to cases in bulk, you will need to use Case Browse to get a list of cases that you want to work with. From the Case Browse Results, select one or more case(es) (check box on the left), click the “Mass Update” button (top left) then choose one of the Mass Update options for staff – “Add Staff” or “Reassign Staff”. From there you can use the Team option to assign a Team to your selected cases in bulk.
