Tip #213 - How To Set a Contact to be Available in All Cases

The default setting in SmartAdvocate makes it mandatory to select a “To” and “From” when uploading documents. It also means that the list of contacts to be able to choose from will include only the contacts that have been added to the case. For the most part, most contacts associated with a case would have been entered in the case where required (medical providers, insurance companies, adjusters, experts, witnesses, etc.).

Occasionally, you may need to upload (attach) a document to a case where the contact has not been entered in the case. Some common examples include: Court Reporters, Stenographers, Investigators, etc. Furthermore, the specific contacts are quite often used repeatedly by the firm. When uploading or saving documents to your cases, you can add those specific contacts to the system so that they are always available as a selection.
 
First, you will need to create the contact (You can skip steps 1 and 2 if the respective contact already exists).

  1. Click on the Contacts Tab on the toolbar, then select Add Contact.

2. Create and save the Contact Card for the new contact.

3. Next, access the System Parameters tab on the Admin toolbar.

4. Filter for “Contacts” in the Parameter Description column and locate “Contacts to appear in all cases as available To and From selections.”
 

5. Click the edit button (“pencil”) in the far-right column to open Edit Form page.

6. Click the drop down and select the contact(s) you want to always be available (e.g., contact created in step 2 above).

7. Close “selection” page. Then, click the “Save” button on the Edit Form page.

Once saved, the contacts will appear on the menu whenever you need to choose a “From” and/or “To” when uploading documents in any case. This will occur, regardless of whether those contacts have been specifically added to the case.
