Tip #103 - Link Related Documents

Using the ‘Select Related Document’ feature to link documents in a case file to specific entries on various pages in SmartAdvocate.
 
The SmartAdvocate Documents Page lists all documents that have been added to that case, whether they have been generated by using a template, attached using the attach feature, attached from an email in Outlook or scanned in using the SmartAdvocate barcode scanning feature.
 
During normal data entry, you would have entered data contained in an invoice, for example, on the Disbursements Page or you may want to reference the Settlement Agreement and the Settlement Check on the Negotiation/Settlement Page.
 
On many of those pages, you can reference (or ‘link’) the specific document to the entry being made, even though the document itself was added to the Documents Page only. To link an invoice to the entry on the Disbursements page for example, you could do the following:

  1. Select the ‘Add Disbursement’ button on the Disbursements Page.

  2. Enter the required information.

  3. Click the ‘Select’ button on the bottom right corner of the page.

  4. You will be taken to the Documents Page where all documents will be listed.

  5. Check the box for the document (in this example of the invoice - you may need to filter for the invoice to locate it. You have the option of opening the document from this screen by clicking the green arrow to the far right of the page to verify it is the document you want to select).

  6. Click the ‘Select’ button in the bottom right corner of the page.

  7. The document will now be listed on the bottom of the page where you are entering the invoice information.

Other types of documents are linked or referenced from the respective pages using the foregoing procedure.
 
The “Attach” option allows the user to upload (‘attach’) a document that is not currently in the case in SmartAdvocate (e.g., a document that may be in a folder on a local or network drive) and associate the document to the entry being made at the same time. This feature will automatically save the document to the case and list it on the Documents Page, as well.

In the examples shown in the screenshots above, clicking the green arrow on the invoice or clicking the hyperlinked ‘Settlement Agreement’ document on the Negotiation/Settlement page will open the document from that page.
