Tip #74 - Make use of the Documents and Notes Search features in SmartAdvocate

Did you know that you can search for any document or note created in any case in SmartAdvocate without knowing which specific case the document or note was created in? Use theTools > Documents SearchorTools > Notes Searchto do a global, system wide search to locate the document or note you are looking for.

Documents Search[1]

To do a global system wide Documents Search, click the Tools tab on the top tool bar, then select Document Search. From the Document Search dialog box enter any filter(s) in the available fields then click the Apply Filters button. A common filter for Document Search is the Document Description. In Document Description you can use AND or OR for multi-word searched. Phrases or words with wildcards (*) should be placed in quotes. For example,litigation AND (Unknown OR “John Doe”) AND “MEASUR*”
 
If there are any documents that satisfy your search criteria, the cases that contain those documents will be displayed. Clicking on the case number of any of the cases on the list will take you to the Documents Page for that case. You can click the action icon for a specific document on the list (or right click on a document) to email, open or delete the document or edit its properties.

Notes Search

To do a global notes search, click the Tools tab on the Tool Bar then click Notes Search on the drop-down list. From the Notes Search dialog box enter any filter(s) in the available fields then click the Apply Filters button. For Notes Search (unlike the basic Documents Search) you can search or filter by any text that appear in the body of the note.

You can click on the case number to access the case that contains the note shown in the results.
Naturally, the more filters used in the search (Document or Note Search), the narrower the search results will be.

[1] Documents Search as described here is not referring to Document Text Search which is a different feature available with the installation of additional components. Document Text Search allows you to search for words inside of a document. In this Tip we are referring to searching for a document using words that appear in the document description only, not words that appear in the body of the document.
