Tip #101 - How to Update Lien Information
Quite often, during the regular data entry process as you update a file, you will get lien information or notifications of liens, such as in a “lien letter.” Such lien notices or lien letters will have an “unconfirmed” lien amount. Subsequently, you will get updated information and may need to update those liens, e.g., when the lien amount is confirmed.
After you have entered and saved the Lienor’s information, you will notice that there is a plus (‘+’) sign to the left of the Lienor’s name on the Lien Page.
As mentioned above, you may need to update or enter information such the confirmed lien amount. Although there is an ‘edit’ function on the grid displaying the list of liens (as shown in the screen shot above), this function will only allow you to edit specific information such as the Lienor’s name, but will not allow you to enter data such as the ‘Confirmed Gross Amount.’ The ‘Confirmed Gross Amount’ is the sum of the “Confirmed Amount” values for ALL of the liens for that lienor, and that’s why it’s not editable after creating the lienor – once the lien records exist, it may not be obvious that the additions to the Gross Amount are due to a distinct lien or an adjustment to the existing one(s).
To enter ‘Confirmed Gross Amount,’ etc., you must first click the plus (‘+’) sign to the left of the Lienor’s name, which will display the individual liens for that specific Lienor.
From this page (grid), click the ‘action’ icon and select the edit function to edit the lien you want to work with. Also, please note that additional liens for thesameLienor are added from this grid.
The updated information is now displayed on the lien page, as appropriate.
Data from the Lien Tracking Page is pushed to the Settlement/Negotiation Page and shown as [Total Outstanding] Liens (see screen shot below). The calculation on the Negotiation/Settlement Page is performed as follows:
If there is a “Date Paid” for the record in the lienor table (the outer “Lien Tracking” table), the lien is considered paid in full and adds $0 to the total.
If there is no “Date Paid,” but there is a “Negotiated/Final Lien Amount,” then it adds that amount to the total.
If there is neither a “Date Paid” nor a “Negotiated/Final Lien Amount,” then it considers the records in the individual lien table (the inner “Lien History” table). If there is a “Confirmed Amount” for an individual lien, it adds that amount to the total; otherwise it adds the “Unconfirmed Amount.”
Note - The entry for Liens that appear on the Negotiation/Settlement Page, as shown above, is editable on this page. If the amount is edited here, i.e., changed from the amount that is pushed from the Lien Tracking Page, a red exclamation mark will appear to the right of the field displaying the Liens.
