How To Set Up A “Service List” For Your Case In SmartAdvocate

A service list is typically used when sending communications to a specific list of individuals or entities associated with a case. Some common examples include attorneys or law firms representing the other parties in a matter, insurance adjusters, etc. Whereas, it is possible to design your document templates and email templates to “pull” those contacts from the case and insert them in your finished documents or emails as appropriate, it is entirely possible that the correct contact information may not have been entered in the case. Or, those contacts may not necessarily be entered in the exact way they are required to be listed on a service list. This is particularly true when you need to have a list of defendants and their agents for service of process.

For a service list that would be included at the end of a document, I would suggest that a document be created specifically for that purpose. Since the service list would be case specific, it would be saved to the case just like any other document, and opened and edited whenever needed, i.e., kept current. Similarly, a service list that would be used for emails would be created the same way with the list of email addresses for the recipients. You could even use a document template to create the document in the case so that you would not need to then upload it later. When needed, the respective document can be opened and the contents copied and pasted at the end of your document or in the “To” field for your email recipients.

Although you could conceivably use a note type to accomplish the foregoing (instead of using a document), the document option would be preferable since the list could potentially be quite extensive and would make the note too long. A document also has more formatting options.

Whenever the list is needed, you would simply open the respective document and copy/paste the content to your finished document or email address.
