Tip #36 - How To Set Your User Preferences for Documents Emails and Default Font
Continuing our series on User Preferences Settings, this week we will take a closer look at how to set your preferences for Documents, Emails and Default Font for Notes. These settings are accessed by clicking on your name in the top right corner of your screen, then clicking on ‘User Preferences’ from the resulting drop-down menu.
Documents and Emails
Generate documents locally If “Generate documents locally” is checked, none of the merging is performed “automatically”; it all waits until the document is opened and then the merging starts. If this box is not checked, some merging (such as those that have prompts, etc.) may not start. If checked (i.e., to generate documents locally) you may not see some of the selection prompts (e.g., “Select Plaintiff”) in the panel that appears in SA when you choose to generate a particular template. If not checked you will see some selection prompts.Here is an example of a template being used with the “Generate Documents Locally” option checked. Notice here you do not get the option to select plaintiff. Below is an example of the same template being used with the “Generate Documents Locally” option unchecked. Notice here you do get the option to select plaintiff.
Show email on document screen – Emails are generally not displayed on the document screen by default. By checking this box, however, you can have emails displayed on the document page without having to check the ‘Show Emails’ check-box on the documents page itself.
Show photos on Document Screen – Checking this box will have photos automatically displayed on the Documents Page without having to check the ‘Show Photographs’ check-box on the Documents Page itself.
Use Outlook to send emails – If checked, emails sent from SmartAdvocate will use Outlook to send the email and save a copy of the email in the “Sent” folder in Outlook.
Default font for new notes
You can set the default font (type and point size) for notes you enter on the Notes Page. This setting only affects notes you enter – notes entered by others will use the system default unless changed in their preferences as well.
