Server Based System - please perform the following configuration:
Kindly have your IT Professional create an FTP/SFTP site. Here are some instructions we found on the internet: https://www.windowscentral.com/how-set-and-manage-ftp-server-windows-10
Once you have created your FTP/SFTP site, provide your Records Provider with the following information:

Please forward the above responses to your records provider. Your records provider will configure their portion and advise SmartAdvocate to configure ours. Testing will be done and once testing is completed SmartAdvocate will advise you to begin using the integration.
SaaS Cloud System - we will be configuring your system for you directly and advise you once completed. We will forward the FTP information to you to submit to your records provider.
For this integration, you will need to add and or update your Medical Records Request Types in SmartAdvocate:

In SmartAdvocate as shown below, go to Medical Records Request types under admin to either update your Medical Records Request Types as shown above or add new Medical Records Request Types for ARC.

You must also create an inactive user for all ARC requests to be requested by and assigned to in your system accordingly. In SmartAdvocate, go to Users under admin to create the new user as shown below.

American Retrieval Company will send the following files to your system:
XML file which starts with the file name of ARC_SA_. This will create medical provider if the medical provider doesn’t exists and add a medical records request for same.
XML file which starts with the file name of ARCRecords_SA_. This will attach a document to the case. This will be the medical records, invoices or other documents from the medical provider.
CSV file which will insert case costs to the disbursement screen.
American Retrieval Company will submit the following work flow for completion:
SA Users login into the WOMS Portal to enter new requests. Nightly all comments entered for the request are sent via FTP to SA. This is then processed by SA and shows them as Medical Requests in SA
Any records uploaded into the portal are sent to SA nightly via FTP. These records are uploaded into SA
Any invoices created in the portal are sent to SA nightly via FTP. These invoices are uploaded into SA
Once integration is “on” ARC will want to have their Case ID enforced to 7 digit #
ARC will also need to confirm that the ARC Request status and Records types are mapped in the firms system. Here are those documents to assist:
ARC will let you know that ARC will also need a test case once the integration is set up to test prior to putting into a live environment.
