    If you have a SaaS Cloud system we will be configuring your system for you directly and advise you once completed.

    If you have a Server Based System - please perform the following configuration listed below

    Kindly have your IT Professional configure Port 443 (or Port 80) on your server https://smartadvocate.atlassian.net/l/c/BkHN739r

    Once you have configured the respective port on your server, please email Implementation@SmartAdvocate.com to complete configuration of your ONTASK Integration.

    docubee Integration Instructions

    Please use the SmartAdvocate Template Editor to create your documents in SmartAdvocate. The Ontask Merge codes are under the Custom Merge Code section below to add to your documents which will allow you to generate documents using the ONTASK integration.

    Once you have completed your document templates using ONTASK merge codes in the SmartAdvocate Template Editor you will be able to use your ONTASK templates.

    To send a document for e-signature, open one of your cases within SmartAdvocate. Generate your ONTASK document template.

    Next, find your ONTASK generated document within the documents screen of your case and right click on the document.

     

    You will be asked to select the recipients from contacts within your case and select your delivery method (Email and/or Text) for your document. Click send when ready.

    You can select up to two recipients and designate the first signatory (Signer) and would make the other secondary by default.

    If more than 2 recipients are selected you will need to use the “Design” button to set the sign order and pick Signature Locations.

     

    Clicking the “Design” button will bring you to the design page; the first signatory will be listed by default.

    Clicking “Show fields for the role” will show all selected recipients. Each recipient will be color-coded to match the selected form fields. Once all the fields have been added, the user can click send to submit the document for eSignature.

     

    Upon sending your document, the recipient(s) will receive an email from ONTASK advising that your firm sent a document for signing.

    SmartAdvocate (highlighted) will be replaced with your firm name

     

    Clicking on “View Document” brings you to the signing page. On the right (Checklist) is what is required of the recipient to be completed.

    Please note the Required Remaining / Optional Remaining counter in the bottom right above the Submit Document Button
    When ask for a signature you will be prompted with the following you can either type or draw
    When the Required Remaining / Optional Remaining counter in the bottom right is at Zero the recipient has completed all of the required steps. At this time the recipient can click the Submit Document Button.

    The recipient(s) will receive the following email that “Your document is complete” with a link to download

    The executed document will also appear in the case under the documents screen.
