Go Live Requirements

In preparation for your live date please review the attached documents previously sent:

You must make certain all of your workstations are configured and you are ready for training.  Please confirm your office has configured your workstations properly.

You will need to be available on your go live date for your implementation specialist will walk you through the below items (connected through screen share the whole day):

Go Live Verification Items

Users

  • Verify requisite number of users (i.e., the number of authorized licenses) are available and active.

  • Verify users’ login names, if necessary, and create additional users as appropriate.

  • Verify users’ email address are entered in their contact card and marked ‘Primary’.

  • Verify permission groups, firm role, title as appropriate. 

  • Verify permissions are associated appropriately to each permission group.

  • Verify user preferences are appropriate for each user.

Case Number Format and Next Case Number

  • Verify case number format and provide next file number for configuration.

Emails & Calendar Invites

  • Verify ability to send emails and calendar appointments from SmartAdvocate.  Send a test email from your account to verify that emails can be sent from SmartAdvocate.  Also create an appointment and make yourself the attendee and verify that an Outlook invite has been received.  Please make sure your IT professional has configured the following for each users https://smartadvocate.atlassian.net/l/c/Ss4Uw21N

  • Verify Notification Setup has been configured for SOLs & Critical Deadlines to be sent to Outlook as invites if applicable.

Documents & Email

Barcode

Reports

  • Verify Reports are being generated.

SOLs

  • Verify SOLs are configured within appropriate case types.

Status & Stages

  • Verify statuses and merge if necessary duplicate statuses.

  • Verify all statuses has been assigned to appropriate stages.

Medical Record Type

  • Verify all medical records types have been configured appropriately.

Refer Out Attorneys

  • Verify all refer out attorneys are configured for use.

Note Type

  • Review Note Types and merge if necessary.

Appointment Activity Type

  • Review Activity Types and merge if necessary.

Contact Type

  • Review Contact Types and merge if necessary. 

Document Categories & Sub Categories

  • Review Document Categories & Sub Categories, merge if necessary and add any additional items if necessary.

Insurance Type

  • Review Insurance Types and merge if necessary.

Integrations

  • Complete purchased integrations.
