Telephone Messages are a convenient way of quickly entering the subject and description of telephone conversations.

Add a Telephone Message

  1. Click on the Message button on the Quick Action Button Bar.

  1. The dialog box will be pre-populated with certain information, highlighted in the image below. The pre-populated information includes: the plaintiff's name and telephone number and the paralegal's name. The subject line will also be filled in with the following text:

"Call [name of plaintiff] back at [primary telephone number]"

  1. Edit or modify the information in the From, Phone Number, Assigned To and Subject dialog boxes as necessary.

  2. Enter any desired information in the Description box.

  3. You can add an email address to the cc field to copy someone else on the telephone message.

  4. The 'cc me' box will be checked by default. Un-check this box if you do not wish to have a copy of the message emailed to you.

  5. Click Save to finish and save the message

  6. An task will be created for the staff member assigned on the message and a copy emailed to others as specified. The Task will be listed in the Task section of SmartAdvocate®. Upon completion of the task, the item will be removed from the open tasks.Select Message.

  7. Select who the message is From from the dropdown menu.

  8. Select the Phone Number from the dropdown menu.

  9. Select who the message is Assigned To.

  10. If applicable, edit the Subject.

  11. Enter a Description.

  12. Select Email To from the dropdown menu.

  13. If applicable, place a checkmark in the CC Me checkbox.

  14. Select SAVE to add a Telephone Message.

  15. Otherwise, select CANCEL to return to the previous screen.

  16. View the Task.
