SmartAdvocate has implemented a full text search feature (dtSearch) that, when enabled, will allow searching of the contents of documents in SmartAdvocate. This includes searching of Word and PDF documents that have been OCR-ed. You can access this “global” search feature by going to Tools > Document Search.

There are several filters that can be applied on the resulting Document Search Page, depending on how restrictive you want the search to be. Some of the filters include: Document Date range, Date Created, Category and Sub-Category, Case Group, Case Type, Created By, Case Status, etc.

Select the appropriate filters then enter the search term (i.e., word(s)) in the Document Text field that you want to search. You can use some Boolean Operators (AND, OR, NOT or AND NOT) as conjunctions to combine or exclude keywords in the search, resulting in more focused and productive results. A more focused search will save time and effort by eliminating inappropriate hits that may otherwise have to be discarded. Phrases or words with wildcards should be enclosed in quotes. For example, litigation AND (Unknown OR "John Doe") AND "measur*".

Click the “APPLY FILTERS” button after you have entered the desired filters, and entered the search term(s) in the Document Text field to complete the search.

IMPORTANT: The search process may take some time because you are searching the entire database (i.e., all cases and all Word and PDF documents in the cases).

The resulting case(s) and document(s), if any, will be displayed at the bottom half of the page.

In addition to the Case # and Case Name, the search results will display the document properties (i.e., Description, Category, Sub-Category, Date, etc.). The “right-click” functionality is also active on the page.

You can click on the Case # to go to the Documents Page of a case in the search results, or you can use the “Open” option to open a specific document that appears in the results. Please note: Your text search term will not be highlighted in the document when opened. You may need to use an appropriate function from the specific application (Word or PDF viewer) to highlight the search terms, if desired.
